Welcome to the Mauritius Yellow Pages’ Tutorial for the “MYP Quotation Generator”

As you may be aware, MYP aims to support local online commerce. As such we have added a quotation function as an extension to our Advanced Search option, that both Yellow Pages Members and Businesses can benefit from.

Even as a business, you may still require products and services on a B2B - that is, Business to Business - basis. View the general quotation requests video tutorial for buyers for a better understanding of this function.

Now, let us proceed with the quotation generator process.

Firstly, to receive quotation requests you must be subscribed to a Classic+ Business Page or higher. You also need to ensure that you have set up your business content well, i.e. - your Catalogue. This is where you should enter your primary products and/or services and ensure that titles are searchable. Here you might want to refer to the tooltips and the video tutorial “Catalogue Section And Function”.

Brands Carried. It is just as important that you have your brands carried list set up and make sure that they are correctly spelled. And both Brands and your Catalogue will also help to increase your presence in search results that again will lead to more quotation requests.

You must also ensure that you enter the map coordinates for your business in the location section of your dashboard to ensure that it appears in the advanced search results. 

Once a quotation request is submitted the business or businesses will be notified by email, in the same way as with YellowMail, that there is a request for a quotation.

The request will contain the search criteria as the subject line, a message field describing the requirements, and a deadline for providing a quotation. It is important to understand that NO business will be able to submit a quotation after the deadline.

Within the quotation section of your dashboard there will be a record of the quotation request, its status and communication with the respective buyers that have requested a quotation. You will be notified by email when a business has submitted a quotation.

The quotations are standardised so that they all contain the following information:

 a greeting with a company intro;

the quotation table with the product or service title, and brand if applicable, i.e. - Air Conditioner - Samsung;

The product or service description, i.e. - 12,000 BTU, Non-inverter exclusive installation;

The number of units;

The payment terms - which can be a One Off charge or a Monthly or Yearly fee; and 

The subtotal price, VAT if applicable, and the total price.

Below the quotation table you will find both the “I accept the quotation” button for the member or user, the company’s general conditions, payment conditions and terms of delivery, in terms of number of days, and if the delivery is on location or pick up at an office or store location.

All general information or requirements that form part of the quotation template are pre-entered according to the information entered in the Quotation Settings section, also found within the business dashboard.

After entering the quotation details, the final step is to click “Generate Quotation” and our system creates and forwards the quotation to the member or user.

Once the quotation is accepted, you can issue an invoice by uploading a file. Delivery of the product or service should be as per your general terms and conditions, payment and delivery terms. If an invoice has been uploaded; you should update the Order status to “Invoiced”. Where payment conditions require part or full payment before delivery you are required to issue an invoice. 

Customers will update the Order Status to “Payment Effected” once they have made a payment. To confirm receipt of a part or full payment, you should update the Order Status to “Paid and Processing”.

At that time the Order Status is updated to Paid, your delivery terms will apply, i.e., 5 days. In the event that you do not deliver on time the Order Status will change to Incomplete. You can request an extension by changing the Order Status to “Extension Request”, at which point the customer will be notified. If the customer agrees, they update the Order Status to “Delivery Extended”. The extension is automatically set with the same number of days as per the delivery terms, i.e. - 5 additional days.

Once the you fulfilled the delivery, update the Order Status to “Delivered”. The customer will conclude the transaction by confirming delivery and updating the Order Status to “Confirmed”. 

Note that the Yellow Pages encourages consumers or customers to submit feedback for any business from whom they accept a quotation. The review will automatically be displayed on your Business Page. While this will help to brand your standard of service, it will also help to bring more consumers or customers to you.
